Unit 3: Organize and Search Files
Unit Objectives:
- Learners will be able to create folders and move files into folders on the Drive.
- Learners will be able to search for files and folders on Drive.
- Learners will be able to sort and star files in Drive.
Create Folders
When you start adding files to Google Drive, you can use folders to help organize and group your files. For example, you might be working on a project and you have many files related to the project. So, you want to group all the project files into one folder so they can be easily located. Folders in Google Drive work just like the folders on your computer.
- In Google Drive, click New command button.
- In the drop-down menu. select Folder.
- A text box will appear prompting you to type a name for your folder. By default, the folder is named Untitled folder.
- Click Create to create the folder in your Drive.

Search Files and Folders
If you have been using Google drive for a while, you might have many files on your Drive. This might make it hard for you to find files on your drive. You can use the Search bar to look for specific files using keywords contained within the file or file name.
In the Search bar, type the keyword you are searching for. For example you are searching for a file that has the keyword thanksgiving within it. When you start typing in the search bar, Drive suggests search terms to help you search for your file faster as shown in he image below. If you see your file in the suggestions simply click on it to open it. To see a complete list of the search result, you can also press the Enter key.

Sort Files and Folders
The layout of your drive is such that in the viewing pane you see the folders on the top followed by the files. The folders and files are by default sorted from the newest to the oldest. When you click on Sort options you can see that there are 4 ways in which you can sort your files.
- Name : Select this to sort your file in alphabetical order of file name.
- Last modified : This is default. Select this to sort your file from newest to oldest. This includes the files modified by you and your collaborators.
- Last modified by me : Select this option to see the files modified by you on the top followed by files modified by your collaborators.
- Last opened by me : Select this option to find files you recently opened, regardless of whether you’ve edited them. This is a great way to get back to items you were recently viewing,
Star Important Files and Folders
Drive provides you the option to flag important files and folders with a star so you can find them quickly. To flag a file with a star, select the file. On the options bar select More actions and select Add star. To see all your starred files and folders, in the left sidebar, click Starred.
